How the DealCloud Integration Works

The DealCloud integration works like Dakota's other CRM integrations. Everything starts inside Dakota Marketplace, where users pick which accounts and contacts to bring over. They can link Dakota records to accounts and contacts already in DealCloud or create new records from the integration. Once that connection is made, updates flow automatically, so the data doesn't go stale.

No Duplicate Records

The linking process is built to prevent duplicates. Pat used the example of a firm that has an account saved as "UMass" while Dakota lists it as "University of Massachusetts Endowment." The integration runs a fuzzy match, flags that the two names refer to the same allocator, and lets you link them instead of creating a new account.

Linking and Syncing Service

For firms with hundreds or thousands of existing accounts and contacts, Dakota offers a linking and syncing service that handles the initial connection. Firms send an export of the accounts and contacts they believe already exist in Dakota Marketplace. Dakota's development team matches them across multiple fields and returns the file for review. Once the firm confirms the matches, Dakota connects everything on the back end.

Dakota's Google Chrome Extension

Pat also highlighted Dakota's Google Chrome extension, which brings Dakota Marketplace data into your browser. That includes LP, GP, account, and contact information along with private and public company data. Users can research, prospect, or look for their next deal target without leaving the page they're on.

Live Demo: Pulling Records Into DealCloud

The demo started in Dakota Marketplace, where users click the More tab on the far right and select Data Integrations. That page is where users pull accounts and contacts into DealCloud in bulk, up to 200 records at a time. Records that are already connected show a small link icon so you can see which ones are receiving live updates.

Inside DealCloud, Dakota data lives in a dedicated Dakota tab on each company record. Custom Dakota fields keep Dakota's information separate from yours and sitting alongside it, so nothing already in your CRM is overwritten. The tab includes general account information and the Dakota descriptions written by the investment sales team, which give reps added context before a call. It also carries the same data tabs found in Dakota Marketplace, including Consultants, Alternatives, Equities, and Fixed Income. Once that data is in DealCloud, it belongs to the firm, and teams can build dashboards and run reports on it.

To pull records over, users filter by AUM range, account type, metro, country, or investment preference, such as private credit, venture capital, or global equities. They then select records and choose to link or create from the action dropdown. Linking runs a fuzzy match on account name. When names don't line up, users can match by phone number, CRD, or website instead, and contacts can be matched by email address, full name, or last name.

In the demo, Dominique searched for banks and broker-dealers in Ann Arbor, Atlanta, and Baltimore and returned 10 accounts. Her rule of thumb is to try linking first to check whether a record already exists, and to create it only if it doesn't. When creating, a pop-up displays every contact Dakota has at the account so the team can choose who they would actually call on. Users can also search and filter contacts directly. The Logs tab records every action in the integration, including updates, failed updates, creates, and links, at both the account and contact level.

For one-off additions, an Add to CRM button in the top right corner of any account or contact page in Dakota Marketplace lets users create or link that record on the spot.

Frequently Asked Questions

Is Dakota available on DataCortex?

Not yet. Dakota is in the process of being added to DataCortex, and much of the development work falls on DealCloud's side. Customers who want Dakota on DataCortex sooner can raise it with their DealCloud rep, which helps move it forward.

What happens if we don't renew but keep DealCloud?

Dakota turns off the connection, so records stop receiving live updates from Dakota Marketplace. None of the data is removed, though. Everything already pulled into DealCloud stays with the firm. The only trade-off is that those records can go stale over time.

How does pricing work?

Pricing for all of Dakota's CRM integrations is customized to each firm. It depends on which data sets a firm needs and how many users will have access to them. Firms pick their data sets from a menu on Dakota's website and share a rough user count, and Dakota returns a custom quote. That way, a firm that has no interest in endowments and foundations doesn't pay for that data.
