Dakota hosted a product webinar on its Dakota Marketplace for HubSpot CRM Integration, built for firms that already manage customer relationships, mail merges, and email campaigns in HubSpot.

Head of Product Pat Tighe and Dominique Mortelliti, Account Executive for CRM Integrations, explained how the integration works. Users choose which records to link or create from inside Dakota Marketplace, and those records then stay current in HubSpot in real time. Once the data is in HubSpot, it belongs to the firm, so teams can build dashboards and run reports on it however they like.

The session included a live demo of the Data Integrations tab, a look at how Dakota data appears inside HubSpot, and answers to the questions customers ask most about field mapping, setup, and renewal.

How the HubSpot Integration Works

The HubSpot integration works the same way as Dakota's other CRM integrations. Everything starts inside Dakota Marketplace, where users decide whether to link Dakota records to existing HubSpot records or create new records and push them into HubSpot. After that connection is made, updates flow automatically, so the data doesn't go stale and teams don't have to maintain it by hand.

Because firms choose what to pull over, the process is deliberate by design. Dakota tracks hundreds of thousands of accounts and contacts, and pushing everything automatically would flood a CRM and create duplicates of records a firm already has. Selecting records keeps HubSpot clean and organized.

Custom Data Packages

Dakota offers a custom package system so firms only receive the data they need. Working with the Dakota team, each firm selects the data that fits its strategy, and that data is made available in HubSpot. Firms that only want general account information or a specific section, such as Alternatives, can skip areas like fixed income entirely.

Live Demo: Linking and Creating Records

The demo took place in the Data Integrations tab of Dakota Marketplace, which is where users pull accounts and contacts into HubSpot in bulk. There are two ways to bring data over:

  • Link existing HubSpot accounts and contacts to their matching Dakota records, which adds Dakota's information alongside yours without creating duplicates.
  • Create new accounts and contacts in HubSpot that stay updated in real time.

Records that are already connected show a small link icon, a visual cue that they are receiving live updates. For anything without that icon, users can preview all of Dakota's data before selecting it. Clicking Link runs a fuzzy match on the account name to find the corresponding HubSpot account. If naming conventions differ, users can match by phone number, CRD, or website instead, and contacts can be matched by email address, full name, last name, or CRD. Users can process up to 200 records at a time by setting rows per page to 200.

When creating records, users can filter by account type, CRD, AUM, metro area, country, and Marketplace Created Date (for example, anything added in the last 30 days). In the demo, Dominique filtered to Country equals USA, selected Cutter and Company, and chose to create the account with its contacts. A pop-up displayed every contact Dakota has at the firm so the team could pick which prospects to include. A cog icon shows while the record syncs, and the Dakota Logs tab tracks every action in the integration, with the status changing to Created once the record lands in HubSpot.

Inside HubSpot, Dakota data sits in custom Dakota sections and fields. Firms can also map Dakota data to standard HubSpot fields, such as city and state, depending on how they want records laid out.

Dakota Joe

Pat also introduced Dakota Joe, a natural language report builder native to Salesforce and built inside Dakota Marketplace. Dakota Marketplace users can use Dakota Joe today to run reports on accounts, investments, contacts, and other objects. For Salesforce users, Dakota Joe is coming soon to internal Salesforce logins.

Frequently Asked Questions

Where does Dakota data live in HubSpot?

Firms can map Dakota data to their existing standard HubSpot fields, or create custom Dakota fields during the install call with a single click. Firms also control how much account detail comes over, so they only pull in the sections that matter to them.

What does setup look like?

Setup is an install call of about an hour with Dominique, covering page layouts, implementation, and training on the app. A two-week check-in follows to answer questions as the team starts using the integration. After that, Dakota's customer success team, which is trained on all of Dakota's integrations, supports reports, linking, creating, and anything else within Dakota Marketplace.

What happens if we don't renew?

Dakota turns off the connection to HubSpot but does not remove any data. Everything already pulled into HubSpot stays with the firm. The only trade-off is that those records stop updating, so someone on the team would need to maintain them going forward.
