What Happens to Your HubSpot Data When You Connect Dakota Marketplace?

It is one of the first questions firms ask before connecting a CRM integration, and it is a completely reasonable one.

You have spent years building your HubSpot. Your team has logged activity, built contact records, and created workflows that your whole sales operation depends on.

The idea of connecting an outside platform and watching something break, get overwritten, or disappear is enough to make anyone hesitate.

We built our HubSpot integration with exactly that concern in mind. Here is the honest answer to what happens to your HubSpot data when you connect Dakota Marketplace.

The Short Answer: Nothing Gets Overwritten

Connecting Dakota Marketplace to your HubSpot does not touch your existing data. We do not delete records, override fields, or alter anything your team has already entered. Your HubSpot stays exactly as it is. What we do is add our data alongside yours, so your team ends up with more information in each record, not less.

This is by design.

We know your CRM is the operational center of your sales team, and we are not here to disrupt that. We are here to make it better.

How Our Data Sits Alongside Yours

When you connect a record to Dakota Marketplace, we add a dedicated set of custom Dakota fields inside your HubSpot. That is where all of our allocator data lives: account details, investment preferences, contact information, career history, and more. Your existing HubSpot fields remain completely untouched.

Think of it as additive, not overriding.

Your data and our data sit side by side in the same record, each clearly labeled, each serving a different purpose. Your team's activity history, notes, and internal fields stay exactly where they are. Our data fills in the gaps your team would otherwise have to research manually.

If you prefer our data to map directly to your standard HubSpot fields rather than custom Dakota fields, that option is available too. We walk through that choice together during your setup call, and the decision is entirely yours based on how you want your HubSpot organized.

Linking Vs Creating in HubSpot

What Linking Does to Your Existing Records

When you link an existing HubSpot record to its Dakota Marketplace counterpart, your record stays in place. We do not create a new one. We connect our data to the record you already have, so instead of ending up with duplicates, you end up with one enriched record that contains both your internal data and our external data in the same place.

This is the most important thing to understand about how our integration handles your existing data. Linking preserves everything you have built while layering our allocator intelligence on top of it.

For a full walkthrough of when to link versus when to create a new record, see Link vs. Create: How Dakota's CRM Integration Keeps Your Data Clean.

What Creating Does

When you create a new record from Dakota Marketplace, we build a brand new HubSpot account or contact that did not previously exist in your CRM. Your existing records are not affected. The new record comes in with our data already attached, and from that point forward it stays current automatically.

Creating is only ever the right move when the account or contact genuinely does not exist in your HubSpot yet. If it already exists, linking is always the right approach. Defaulting to creating when you are unsure is how duplicate records build up over time.

If the fear of breaking your existing HubSpot has been holding your team back from connecting, we get it. Let us show you exactly how it works here!

Real-Time Updates: What Changes and What Does Not

Once a record is connected, we keep it current automatically. Any time we update a field in Dakota Marketplace, that update flows directly into your HubSpot. You do not have to do anything. Your team is always working from accurate, up-to-date information without anyone managing it manually.

What does not change is anything your team has entered independently. Your internal notes, activity logs, deal stages, and custom fields are yours. We only update the fields that are mapped to our data. The Dakota Logs tab inside the Data Integrations page gives you a full record of every update we make, so your team always knows exactly what changed and when.

What Happens to Your Data If You Ever Stop Using Dakota?

If your firm ever decides not to renew with Dakota Marketplace, we turn off the connection to your HubSpot integration. Our team will no longer push updates into your CRM.

However, we do not take any data out of your HubSpot. Every account and contact record you pulled over stays exactly where it is. You simply run the risk of that data becoming stale over time without our ongoing updates.

What About Your Existing HubSpot Records at Setup?

If your firm has hundreds of existing HubSpot accounts and you want them all connected to Dakota correctly from day one, our Linking & Syncing service handles that for you. You send us an export of your existing records, our team runs a matching process, and once you approve the match file we build all of the connections on the back end. Your existing data is preserved throughout, and Dakota's data starts flowing in automatically as soon as the connections are built.

For any firm with a significant existing HubSpot, Linking & Syncing is the cleanest way to get connected without disrupting what your team already has.

Your HubSpot Is Safe. Your Team Gets More.

Connecting Dakota Marketplace to HubSpot does not put your existing data at risk. It adds to it!

Your records stay intact, your workflows keep running, and your team gains access to accurate, real-time allocator intelligence directly inside the CRM they already use every day.
